These terms govern your use of Voyae Planner (planvoyae.com), a product operated by OptiFlo Apps Ltd, a company registered in England and Wales under company number 17284323, registered address SIU Offices, 4-6 Greatorex Street, London, E1 5NF, United Kingdom. Voyae Planner is part of the Opti Flo Apps family of products, alongside Go Voyae (govoyae.com), though each product operates as a distinct service under its own terms.
By creating an event on Voyae Planner, or by responding to an event as a guest, you agree to these terms. If you don't agree, please don't use the service.
1. What Voyae Planner is
Voyae Planner is a tool that lets an organiser create a single event page to manage a group trip: RSVPs, itinerary, updates, and a shared photo and video gallery. The event owner may invite co-organisers on paid plans. Guests respond to the event via a link, without needing to create an account.
2. Accounts and access
- Organisers must create an account to build and manage an event. The event owner controls billing and may invite co-organisers with the same planning access (billing visibility is optional). You're responsible for keeping your login details secure and for all activity under your account.
- Guests do not need an account. Guests are identified on the event page using a name and the first letter of a postcode. This is a lightweight, low-friction way to tell responses apart, not a verified identity check. Organisers should be aware that this method does not confirm who a guest actually is, and should exercise their own judgement, particularly around anything sensitive shared on the event page.
3. Pricing and payment
- Voyae Planner offers a free tier for smaller groups, and two paid tiers (£19 and £35) as one-off payments per event.
- Guest count and feature limits are never used to block you mid-planning. If you reach a limit, you'll see a contextual upgrade prompt, and you can choose whether to upgrade.
- Returning organisers may automatically qualify for a discount based on how recently they last used the platform.
- All payments are processed by Stripe. We do not store your card details.

4. Acceptable use
When using Voyae Planner, you agree not to:
- Upload content that is illegal, harassing, hateful, sexually explicit, or that infringes someone else's rights
- Use the platform to collect data on guests for any purpose beyond organising the event
- Attempt to interfere with the platform's security or normal operation
- Impersonate another person when responding as a guest
Photos and videos uploaded to an event's post-trip gallery may be moderated, and we reserve the right to remove content that breaches these terms.
5. Your content
You retain ownership of any content you upload, including event details, itineraries, and photos or videos. By uploading content, you grant us a limited licence to store and display it as needed to operate the event page for the organiser and invited guests. We don't use your content for our own marketing without asking you first.
6. Event page lifecycle
Each event page moves through three phases, driven by the trip dates you set:
- Pre-trip: guests can RSVP and see invite details
- During trip: the itinerary is the main focus
- Post-trip: a moderated photo and video gallery becomes available
Event pages, and the data on them, are retained indefinitely so you can look back on the trip whenever you like, unless the organiser chooses to delete the event or their account, as described in our Privacy Policy.
7. WhatsApp notifications
Voyae Planner may offer organisers a way to notify guests via WhatsApp, using pre-filled message links (wa.me). These messages are sent from the organiser's own WhatsApp account. We do not have a WhatsApp Business API integration, do not store guest phone numbers, and do not send messages automatically or on your behalf.
8. Third-party services
Voyae Planner relies on third-party providers, including Stripe (payments), Supabase (accounts and data), Resend (email), and Vercel (hosting). Your use of the platform is also subject to the reasonable operation of these services, which are outside our direct control.
9. Disclaimers and liability
Voyae Planner is a coordination tool. We are not a party to, and take no responsibility for, the underlying trip, bookings, or arrangements made between organisers, guests, or any third-party travel provider. We don't guarantee that the platform will be error-free or uninterrupted.
To the fullest extent permitted by law, Opti Flo Apps' liability to you for any claim arising from your use of Voyae Planner is limited to the amount you paid us for the relevant event, if any.
Nothing in these terms limits our liability where it would be unlawful to do so, including for death or personal injury caused by our negligence, or for fraud.
10. Termination
We may suspend or remove an event page or account if these terms are breached. Organisers can delete their own event or account at any time via the platform or by contacting us.
11. Changes to these terms
We may update these terms from time to time. If we make material changes, we'll update the "last updated" date above and, where appropriate, notify organisers directly.
12. Governing law
These terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
